Receptionist/Administrative Assistant (Full Time)

Location: San Luis Obispo, CA

Wallace Group, a multi-disciplinary consulting firm, is looking for a strong candidate that is a relationship builder with an infectious positive attitude to join our dynamic and accomplished team of professional engineers, landscape architects, planners, surveyors, and administrative staff as a Full-Time Receptionist. The Administrative department plays a critical role in helping the company operate on a day-to-day basis as well as participating in attaining future growth goals. From operating the phone system, assisting the Office Manager, and running errands, this position is an important element of Wallace Group’s ongoing success.

General Duties:

  • Be the first contact for clients, vendors, and the general public for a professional services firm with 60+ employees
  • Handle a multi-line switchboard (answer the phones and route calls)
  • Responsible for general office/clerical assistance such as running errands, basic inventory and supplies ordering, and setup/cleanup of conference rooms
  • Assist Office Manager with:
    • Managing and maintaining equipment
    • Facilities (including vehicle fleet, janitors, gardeners, and building maintenance personnel)
    • Assisting with organization of company events
    • Assisting with document archiving/office cleanup
    • Type letters/transmittals/envelopes/labels
    • Manage certificate of insurance for subconsultants
    • Assist Accounting and Human Resources staff
    • Photocopy documents, prepare and organize binders, and other tasks as specified

Qualifications:

  • High School diploma
  • Minimum of 2 years of qualifying administrative experience
  • Must have Class C license, and be able to provide clean DMV record and proof of auto insurance
  • Software requirements include: MS Office (Outlook, Word, Excel, PowerPoint)
  • Experience working at an A/E/P firm is desirable

Physical Requirements:

  • Ability to sit at a desk and use computer with related tools for an 8 hour average work shift
  • Vision to independently view computer screen or printed materials and graphics
  • Strength to lift and carry office materials weighing up to 25 pounds
  • Hearing and speech skills to effectively communicate in English, in person, and over the telephone

Hours: 40 hours per week, Monday - Friday.
